Job Background:
Leading global medical communications agency looking for a talented individual to join their team.
Job Duties:
Project Management:

Manage the day-to-day running of the client projects, independently of supervision

Develop and negotiate budgets with client with confidence
Take briefs from client, ensuring clear understanding of project objectives and pass the brief to team members in efficient, effective manner
Set-up timelines, agree timelines with project team and client
Monitor and ensure adherence to timelines

Ensure team members are aware of expectations and are able to deliver each step as and when required
Update client on project status routinely, using internal status meetings and template reports
Ensures that team systems are adhered to e.g. filing is being implemented and is working across the team; job-bag / job cover sheet is completed

Understands and applies project management principles in all activities undertaken
Maintain an overview of all programme tactics to understand how each project fits within the overall framework
Pro-active approach to moving project along to completion

Aware of industry guidelines and codes of practice such as GPP and ABPI. Keeps abreast of updates and proactively informs staff/clients of the implications of any alterations to these codes
Understands the process of publication planning and is able to develop appropriate publication plans

Finance Management:

Highly proficient at understanding of figures, is able to interpret and use numerical material and present numerical information clearly and accurately
Highly proficient at researching and developing accurate budgets

Understands and applies principles of financial management in day to day monitoring of budgets
Completes internal finance systems
Tracks time spent on projects to ensure that time logged is in accordance with agreed budgets and time allocation for jobs, and flag any discrepancies to team in timely manner

Reports fee appropriately and in timely manner
Invoices client in accurate and timely manner
Is aware of budget status at all times and promote overall account profitability through profitability of individual projects

Editorial Team Working:

Ensures all projects are implemented according to client Med Ed quality standards; champions editorial team standards
Reviews project work for editorial flow and structure
Provides input to the writers, from editorial perspective
Manages freelancers, bookings, payments, and ensuring the quality of their outputs

Edits and manages art-work projects
Provides formal and informal training for junior staff

Project Team Management:

Ensure project team members work to team SOPs
Brief projects clearly and accurately to team members and freelancers
Liaise with line manger of project team members to flag any recommended training needs

Client Liaison:

Maintains regular contact with client
Maintains awareness and understanding of current issues relating to client and product area
Advises client on necessary project changes/external issues
Ensures speedy response by team to client enquiries
Demonstrates innovation and creativity beyond client ideas
Maintains social contact with client personnel where appropriate

Professional Relations:

Builds and maintains relationships with key opinion leaders

Growing Client Business:

Proposes new projects to client that will add to their medical education programme
Communicates new business opportunities from current clients to the Account Director
Participates in presentation of proposals where appropriate

New Business:

Participates in development and presentation of new business proposals

People Management:

Understands what motivates team members and encourages their development by providing support and coaching
Able to identify issues within the team and apply a problem solving approach to resolve issues
Shares knowledge, information and ideas with team members
Has coaching and mentoring role with team members
Line manages at least one member of staff

Time Management:

Manages time very well by establishing priorities and anticipating problems in order to meet deadlines.
Readily accepts responsibility and extra work
Is conscientious, keen and reliable
Is dependable and seldom needs chasing
Maintains good workflow under pressure

Job Qualifications:
Project management, development and delivery of tactical publication plans

Maintaining editorial standards

Life science qualification or equivalent.

Understanding of agency life and experience within.
